Order Minimums

To better serve all our guests and operate in an efficient manner, 300 Madison Catering has established a minimum order of ten guests for the majority of its catering packages and food items unless otherwise specified. Please consult with your Catering Team for individual requirements. If the desired menu for the event should fall below the stated order minimums, the Catering team will happily provide you with alternative options to fit your needs. Final orders that come in below the minimums required may incur additional fees.

Due to varying guest preferences, clients are strongly encouraged to order all menu items to match the full event headcount. Items ordered in lesser quantities that are depleted during the event cannot be guaranteed to be replenished in sufficient time.

To ensure a seamless guest experience, please work with your Catering Team to appropriately balance menu selections and anticipated demand.

 

Dietary Restrictions

Please communicate all dietary restrictions to your Catering Team prior to the menu being confirmed. Common dietary requirements including vegetarian, vegan and gluten are noted throughout the 300 Madison Catering menu. Should you have further questions or dietary restrictions, please do not hesitate to voice them to your Catering Team. 300 Madison Catering welcomes all requests, prioritizes your safety and experience, and will gladly make special accommodations whenever possible.

Please bear in mind, for severe allergies with potential anaphylactic reactions, we cannot guarantee full omission of the offending ingredient. This is due to the physical constraints of our own kitchen and those of our specialty suppliers where the ingredients may be present within the production environment.

Kosher or specialty orders must be placed by 2:00 pm (Monday-Thursday) and 11:30 am (Friday) for the next business day’s service. Orders placed during religious holidays will require advance notice or may not be available.

 

Ordering, Guarantees and Changes

To provide the highest quality of service, we kindly request that orders be placed with your Catering Team with as much advance notice as feasible. With the exception of custom menu requests and after hours receptions, catering orders requested within 2 business days of the event are subject to product availability (re. guarantee window). Any necessary substitutions will be communicated to you. A final guarantee is requested 1.5 business days in advance for conferences, receptions and dinners. Reductions in service counts within those 1.5 business days may remain billable. Please see our policies on Cancelations and applicable fees in the following section.

After hours receptions require a minimum of 5 business days notice. Please see our policies on Alcohol Service & Receptions for additional information.

 

Cancellations

All cancellations must be received 1.5 business days prior to the start of your function. If you cancel an event after this deadline, you may be subject to fees equivalent to the purchase cost of the ingredients to your menu with the exception of bottled beverages and prepackaged / shelf stable / nonperishable food items.

In the event of force majeure, the equivalent of your cancellation fees may be applied as a credit to the rebooking of the same event within a ninety day period. The credit cannot be applied to an existing or unrelated event. Please discuss the unique circumstances of your cancellation with your Catering Team.

 

All China service request must be place a week prior to the event. As the first line on under this part of the policy.

 

Rentals & Décor

Depending on the size, complexity and desired aesthetic of the meeting, conference or event, your Catering Team can facilitate purchase or rental of linens, service wares, equipment, flowers & decorations, audio visual equipment and guest entertainment. Any associated costs for these items will be made viewable as a line-item expense on your final invoice. 300 Madison Catering will not be made responsible for any rental equipment or items procured without the knowledge and facilitation of the Catering Team.

All rental and decor requests must be placed one week in advance. Your Catering Team will partner with you to identify the most appropriate rentals and décor items to meet both functional requirements and design objectives. All estimates are presented with full transparency, however, final pricing is not subject to negotiation.

 

Food and Service Ware Removal Policy

With the exception of boxed sandwich luncheons, out of deference to safety it is the policy of 300 Madison Catering not to box or facilitate boxing of unused food portions from your event for personal consumption outside of the event location. Food provided for catering is intended to be consumed only in the designated event space.

All service wares utilized in the execution of your event are the sole property of PwC. Unauthorized removal of service wares from the designated catering space may result in additional charges to your event.

 

External Catering

Aramark is the preferred catering partner for PwC events at 300 Madison. Accordingly, the use of external catering providers is strongly discouraged. In circumstances where an external caterer or food preparer is deemed necessary and approved in advance, 300 Madison Catering will apply an equivalent 18% service charge to the total external costs. This fee covers required labor associated with coordination, service support, and execution of the event.

Any external catering arrangements made without prior approval from PwC or foreknowledge of 300 Madison Catering will result in the client assuming full responsibility for all aspects of the event, including but not limited to delivery coordination, setup, supply, staffing, service, and post-event breakdown without assistance from 300 Madison Catering or PwC personnel.

Due to food preparation and handling liability, 300 Madison Catering cannot supplement or facilitate external catering orders with in house prepared food items or service unless it has verified the external provider for full compliance with applicable city and state health codes, assumed the purchase costs and applied the aforementioned services charge.

 

Alcohol Service & Receptions

Alcohol will only be served to attendees of legal drinking age. Valid photo identification may be required. Service of spiritous beverages to any attendee(s) may be denied or suspended at the discretion of PwC's designated and licensed alcohol service provider. Self-service is strictly prohibited in all forms.

Alcohol must be served by an accredited bartender and come accompanied by a substantive food offering to mitigate the effects of alcohol consumption. For further information regarding alcohol service compliance, please see PwC documented policies on on/off premisis alcohol consumption & service.

Receptions taking place after normal business hours (weekends or after 4:00pm) will have an 18% administrative service fee applied. All receptions outside normal business hours require 5 business day advanced notice so as to secure accredited staffing. All bar packages are based on a two hour service period.

Events extending beyond that time frame will have additional fees assessed based upon the guaranteed head count and duration. Requests to extend catered bar service on the day or evening of an event will only be considered if initiated or expressly confirmed by the designated event booker. This requirement applies regardless of the title or seniority of the individual making the request.

This policy is in place to ensure proper budget oversight and respect of the authority of the individual(s) responsible for event planning and expenditures. Absent approval from the event booker, no extensions of bar service will be permitted.

 

External Billing

Please direct all billing questions and arrangements to the Catering Team. When placing your order, it is important to confirm the appropriate cost center or credit card authorization to use for billing. Events without a valid form of payment on file 1.5 business days prior to the scheduled event may be subject to cancellation.

For events paid externally (neither PwC or verified 300 Madison tenants) we may require a deposit of 50% of all applicable event charges 48 hours prior to your event. This is to ensure sufficient funds and authorization for the event costs. Any remaining amount will be due upon conclusion of the event.

 

Staffing & Hours of Service

The Catering Team is responsible for outlining the appropriate number of uniformed attendants, chefs and/or bartenders based on the style, service level, location and timing of your event. Staffing all events is approached based on their individual needs with both cost and service experience in mind.

Regular service hours are considered to be Monday-Friday 7:00am-5:00pm. Events are distinguised as either a standard drop off & pick up service or full service (multiple touches). Evening events and receptions that take place after 5:00pm (regardless of start time) will have labor applied as an after hours event. Unless otherwise specified, all catering positions are billed at a minimum 5 hours encompassing event set up through conclusion and tear down.

For high visibility events, dedicated catering attendants can always be requested and accommodated.
